Orchard Expense & Cost-per-Block Spreadsheet
Your accounts tell you what the orchard cost. This tells you what each block cost — including its fair share of everything you bought for the whole farm — and what that works out to per kilo.
No email, no account, no trial. Opens in Excel, Google Sheets and Numbers.
What's Included in this Template
One row per invoice or receipt, tagged either to a block or to “ALL (shared)” for anything bought for the whole farm.
Hours and hourly rate per person per task, with the cost worked out for you. Also taggable to a block or shared.
The payoff sheet, calculated not typed. Direct costs, plus that block's area-weighted share of everything shared, plus labour — then divided by hectares and by kilos harvested. Includes a reconciliation line that flags spend tagged to a block that doesn't exist.
Your blocks with area in hectares and season yield in kilos. Area is what splits the shared costs; yield is the divisor for cost per kilo.
Editable expense categories and labour tasks that drive the dropdowns. The block list mirrors your Blocks sheet automatically.
Key Benefits of this Template
- Splits whole-farm costs — fertiliser, diesel, insurance — across blocks by area, so nothing sits in an unallocated bucket.
- Calculates total cost, cost per hectare and cost per kilogram for every block.
- Flags in red any spend tagged to a block name that isn't on your Blocks sheet, plus a reconciliation line that catches it at the total.
- Editable agricultural expense categories; new blocks flow into every dropdown with no formula edits.
- Opens in Excel, Google Sheets, LibreOffice and Apple Numbers.
Inherent Spreadsheet Limitations
- It doesn't track harvest, so you type each block's season yield in yourself — from your own records, or copied from the free Harvest Tracking Spreadsheet's Block Summary.
- Shared costs are split by area, which is a convention, not a law. A young block and a mature block of the same size don't really consume the same fertiliser — tag those invoices directly instead.
- Receipts live in a folder, not in the file. No bank feed, no invoice scanning.
- A cost record, not a set of accounts: no VAT/GST, no depreciation, no payroll, and no revenue side — so no profit-and-loss.
