This Privacy Policy explains how we collect, use and protect your personal data when you use the Kropigo application and related services (the “Service”).

We are the data controller for personal data processed in connection with the Service.
2. What this Policy covers
This Policy applies when you:
- Visit kropigo.com or other pages we operate.
- Create an account and use the Kropigo app.
- Interact with us (for example, by email or through support).
By using the Service, you acknowledge that you have read this Policy.
3. Personal data we collect
We may collect and process the following categories of personal data:
3.1 Data you provide to us
- Account details: name, email address, password (stored in hashed form), and any profile information you choose to provide.
- Business details: company name, role, and other optional information you enter in your profile or settings.
- Content in the Service: information you enter in Kropigo, such as notes, plant/plot records, interventions, and other data related to your orchard/landscaping activities (which may sometimes indirectly contain personal data).
- Support messages: any information you provide when you contact us for support or feedback.
3.2 Data collected automatically
When you use the Service, we may automatically collect:
- Usage data: how you interact with the app (e.g. pages visited, features used, time and date of access).
- Device and log data: IP address, browser type, operating system, device type, and error logs.
We use this information mainly to operate, secure and improve the Service.
3.3 Payment data
Payments for paid subscriptions are processed by Paddle, our payment provider and merchant of record.
- We do not store your full payment card details.
- Paddle may collect and process your payment information (card details, billing address, VAT number, etc.) in accordance with its own privacy policy. We receive limited information from Paddle (e.g. payment status, last 4 digits of card, country, tax information, and subscription details) so we can manage your subscription and comply with our accounting obligations.

4. How we use your personal data and legal bases
We process your personal data only where we have a legal basis under GDPR. Depending on the context, we may process your data on the following bases:
4.1 To provide and operate the Service (contract)
- Creating and managing your account.
- Providing you access to Kropigo and its features.
- Processing your subscriptions and payments (via Paddle).
- Providing customer support.
Legal basis: performance of a contract (Article 6(1)(b) GDPR).
4.2 To improve and secure the Service (legitimate interests)
- Monitoring and improving the performance, usability and security of the Service.
- Detecting, preventing and investigating fraud, abuse or security incidents.
- Analysing general usage trends to make better product decisions (in an aggregated or pseudonymised form where possible).
Legal basis: our legitimate interest in running, improving and protecting the Service (Article 6(1)(f) GDPR).
4.3 To communicate with you (contract / legitimate interests / consent)
- Sending essential service emails (e.g. account messages, security notices, billing-related communication).
- Responding to your questions and support requests.
- If you choose to opt in, sending optional product updates or tips.

4.4 To comply with legal obligations
- Keeping records required by accounting, tax or other laws.
- Responding to lawful requests from authorities.

7. International transfers
Our main operations are in the European Union. Some of our service providers may be located outside the EU/EEA.
Where personal data is transferred outside the EU/EEA to a country that does not provide an adequate level of data protection, we will ensure appropriate safeguards are in place, such as:
- Standard Contractual Clauses approved by the European Commission, or
- Other lawful mechanisms under GDPR.

8. Data retention
We keep your personal data only for as long as necessary for the purposes described in this Policy, including:
- For as long as you have an active account.
- For as long as needed to provide the Service and support you.
- For as long as required by law (for example, accounting or tax record retention periods).
When we no longer need your data, we will delete or anonymise it, unless we are legally required to keep it for a longer period.
You can request deletion of your account and associated data as described in Section 10.
9. How we protect your data
We take reasonable technical and organisational measures to protect your personal data against accidental or unlawful destruction, loss, alteration, unauthorized disclosure, or access.
These measures include, for example:
- Using reputable hosting providers with appropriate security.
- Limiting access to personal data to those who need it.
- Using encryption where appropriate.
However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
10. Your rights (EU / GDPR)
If you are in the EU/EEA or similar jurisdictions, you have the following rights regarding your personal data, subject to certain conditions and exceptions:
- Right of access: to obtain confirmation whether we process your personal data and, if so, to receive a copy.
- Right to rectification: to have inaccurate or incomplete personal data corrected.
- Right to erasure (“right to be forgotten”):to request deletion of your personal data in certain circumstances.
- Right to restriction of processing: to request that we restrict the processing of your data in certain cases.
- Right to data portability: to receive the personal data you provided to us in a structured, commonly used and machine-readable format and to transmit it to another controller, where technically feasible.
- Right to object: to object to our processing based on legitimate interests, including profiling, and we will stop processing unless we have compelling legitimate grounds or the processing is required by law.
- Right to withdraw consent: where processing is based on your consent, you can withdraw your consent at any time (this will not affect the lawfulness of processing before withdrawal).

11. Children
The Service is not intended for children under 16 years of age, and we do not knowingly collect personal data from children under 16.
If you believe that a child has provided us with personal data, please contact us so that we can take appropriate action.
12. Changes to this Privacy Policy
We may update this Privacy Policy from time to time, for example to reflect changes in the Service, in law, or in our data practices.
When we make material changes, we will try to notify you via the Service, by email, or by posting a notice on our website. We will also update the “Last updated” date at the top of this Policy.
If you continue to use the Service after the updated Policy takes effect, you will be deemed to have accepted the changes.
